See who planned their week, who's following through, and drill into any rep's calls.

Assigning calls to a rep

When you add an activity (+ Add activity in My Week, the Dashboard, or a customer's 360° view), you get an Assign to picker that reps don't. Leave it on yourself, or pick a rep you manage — the call lands in their plan, recorded as assigned by you. The picker only lists people you can see: the reps assigned to you, and yourself.

Looking at a rep's screens

The Dashboard, My Week, New Customers, and Inactive tabs each have a Viewing picker that reps don't. Pick a rep and you see their screen exactly as they do: today's calls, their week, their new accounts, their quiet accounts, their sales against goal. The picker turns blue while you're looking at someone else, so it's obvious you're not on your own screen, and the choice carries across all four tabs — switch rep once and every screen follows.

Inactive is worth a look on any rep you're coaching: it lists accounts of theirs that were buying but have stopped ordering, with the contact details in the row. A long list, or a lot of accounts sitting at 90+ days quiet with no task against them, is a coverage conversation rather than a performance one. It's a read-only view of their world in the sense that matters: Submit plan, Submit log, and Pull last week's incomplete are greyed out while you're viewing a rep, because submitting is theirs to do. You can still add and edit calls — and when you add one while viewing a rep, the Assign to picker defaults to them, which is almost always what you want.

Every manager sees the reps whose Manager field points at them; admins see everyone.

Campaigns — assigning a batch of accounts

Got an event, a promotion, or a supplier push coming up? A campaign assigns a whole list of accounts to a rep in one go and emails them the list.

You can run one from three screens, and they work identically — pick whichever list already answers the question you're asking:

  1. Open the list and pick the rep — the Rep menu on Leaders & Bleeders, the Viewing menu on the other two.
  2. Narrow it to the accounts you care about, using whatever that screen offers — grade and supplier, or the day/year windows on Inactive.
  3. Tick the accounts. The checkbox in the header selects everything currently shown, so filter first and then select-all.
  4. The campaign bar appears. Give it a name ("Fall camera promo" — this goes on every call and in the email), pick the activity type and a due date, and optionally add notes for the rep saying what the ask actually is.
  5. Tap Assign & email and confirm.

Each account becomes an ordinary call on that rep's plan for the due date, and they get an email with the campaign name, activity type, due date, your notes, and the full account list. Replies to that email come back to you.

Filter, then select all. The header checkbox only takes what's on screen, so "supplier X, grade D–F, select all" gives you exactly the slipping accounts on that line without ticking them one at a time.
A campaign is capped at 100 accounts at a time. Anything that changes the list — switching rep or supplier, changing the Inactive windows — clears your ticks, so they can't land against the wrong account list. The bar names the rep it will assign to, and its count is what will actually be sent. If a few accounts fail to write to P21 the rest still go through — the confirmation tells you how many of how many were assigned.

Team Dashboard (sales managers & admins)

The Team Dashboard is the big-picture view for sales leadership — and it's the first thing sales managers and admins see when they sign in. A sales manager sees their own team; admins see every manager's team side by side. For the selected week (‹ › arrows to change it) you get:

Branch managers don't see this tab — their view of their own team is the Team Report below.

Leaders & Bleeders — any rep

The Leaders & Bleeders tab works for you the same as it does for reps (see the Sales & Counter Guide), with one addition: a Rep menu at the top lets you switch to any rep you oversee and see their book — who's growing, who's slipping, each account's last order/quote, last task, and open tasks. That's the reps assigned to you; admins see everyone. Use it before a one-on-one to spot the accounts a rep should be working.

The Supplier box narrows the list to accounts that buy a particular line, and recalculates this-year-vs-last-year on that supplier alone. That answers a different question from the overall grades: not "how is this account doing" but "who is quietly walking away from this brand." Pair it with the grade chips and a campaign to work the fallers in one pass.

Supplier figures come from invoice lines rather than invoice totals, so they won't tie to the penny against the all-suppliers view. Both measure net product sales; they're just counted at different levels. Last order and last quote stay whole-account even with a supplier selected — hover the customer's name to see the last time they bought that specific line.

The Team Report

Open the Team Report tab. It shows plan vs. actual for your reps for the selected week. Use the ‹ › arrows to change weeks.

Emails you'll receive

You don't have to keep the app open to stay on top of your team — TrueBearing emails you automatically. The emails come from the rep's own mailbox, so you can reply straight to them.

Plan and log submissions don't email you. The rep gets their own copy as a record, and you see who has and hasn't submitted at a glance in the By manager section of the Team Dashboard and in the Team Report — no inbox to wade through. Campaigns you send email the rep, not you, but they're sent from your address so their replies come back to you.
Don't see them? Email is set up by your admin (it uses your Microsoft 365 account). If notifications are off or you're not receiving the debrief, check with your admin — the controls live under Admin → Email Notifications.
